Remote contract opportunity for 3 months but could be extended up to a year. Must live in United States and be eligible to work for a US Company
OVERVIEW: Our client is looking for help on the systems interface side of our Accounting Ecosystem where they need help completing and maturing the implementation of updates to NetSuite, UKG, Blackline, and various sub-systems and their associated workflows. They are a SaaS business, holding to 606 Rev Rec rules. Accounting at our Company encompasses 6 international affiliates and 2 US, with one of those as the Parent. All Affiliates are 100% owned by the Parent.
HISTORY: NetSuite has been our system of record from month 3 of the company. As we have expanded to new jurisdictions, we have implemented multi-book accounting. This is an ongoing process. We have since migrated our Payroll to UKG and continue to find issues in both the tool and workflow. At the tail end of our implementation, we lost two of our key IT resources, so this is still in need of final implementation help on the Accounting side. Blackline was implemented at the very start of this year and much like the story with UKG, it needs some process flow and technical updates to find its full potential with us.
Key processes within the Accounting team include:
● Payroll, through UKG for US and Canada, with international via ActivPayroll and ManPower and their in-country providers. For international payroll, we submit any relevant inputs for the payroll each month to the service providers for processing and payments to the employees. ○ 401K and international benefits
● Contract to Order - Accounting helps in the upfront decision making for agreements and terms that flow into both R2R and P2P. This is key to note because of the strong tie between systems. Getting it right up front is key to the process functioning.
● Order to Cash - Full end to end. All within systems (Salesforce to NetSuite/ Tesorio). No paper. We have a Sr. Accountant who oversees this.
● Plan to Pay - Full end to end. All within systems. Two different expense mgmt tools, one credit card / PO tool. We have a Sr. Accountant who oversees this.
● Record to Report - key help is needed to get us where we need to be ○ We seek to close books by the 10th day of the month and are 50% successful at this time.
● Tax - We have a fantastic full-time resource on Tax. Much of the work within Avalara and NetSuite on the tax side will be with our Tax leader.
● F/S Audits - we use KPMG for our US F/S Audit and we hold 4 additional certifications that have a direct tie to our accounting (and HR) processes for renewal. Local Statutory F/S audits are required for 3 of our 6 foreign affiliates. PRIORITY TASKS:
● UKG ○ Review and update the GL integration between UKG and NS to include employee name and pay code description ○ Review integrations with Benefit providers ○ Review integration between UKG Pro and UKG WFM ○ Review and update Key Reports in UKG BI ○ Ensure that the definition of compensation being used for 401(k) plan purposes in UKG matches exactly with the 401(k) plan’s definition ○ Ensure UKG properly caps 401(k) contributions. 401(k) provider’s system will not cap ○ Coordinate with POps on the integration between Fidelity & UKG, which is just starting as of 9/1/2024.
● NetSuite ○ Manage integrations in/out NS with UKG, Blackline, Tesorio, JPMorgan (FiSpan), Salesforce and Avalara, Brex, Airbase, etc. ○ Including the review and updating of Saved Searches and SuiteBundles for each application ○ NS ACS - Review and update subsidiary setups, including making sure VAT/ other taxes setup is accurate ○ NS ACS - Optimize tax setup in NS, utilizing Suite Tax and/or Avalara for all US and international indirect tax filings (sales tax, VAT, GST, etc.)
■ Top priority is Vietnam. ○ Manage multibook setup, including local book compliance to each respective local GAAP standard
■ Enter foreign local GAAP adjustments
● Extra adjs. to JP ‘22 and ‘23 F/S - Tax Director can provide ○ Setup and maintain e-invoicing templates for each subsidiary that meet local requirements ○ Setup SFTP connections in/out of NS for Blackline, JPMorgan, Tesorio, ○ Review and update Revenue and Amortization module setup ○ Create and Update Financial reports for Workiva export for financial reporting purposes as well as monthly reports for the Finance team ○ DONE - Remap GL Acct. 3700 out of income statement and into equity section of Balance Sheet on certain reports
● Blackline ○ DONE - Create saved searches from NS to interface into blackline for the following: Monthly currency rates, income statement information, BS account information refreshes for the whole year. ○ Assist with configuration of Financial Reporting and Variance module ○ Assist with creating In-Transit definitions for Matching and Reconciliation module ○ Create automated Journal entry definitions based on Matching module results for the JE module
● Tax ○ Determine 2023 AJEs and create final 2023 F/S file to share with Riveron to complete provision calculation for my review before sharing with KPMG ○ Provide summary of 2023 AJEs to share with Riveron and Deloitte ○ Complete open 2023 provision/return items discussed on 8/14.
To be successful, the right person needs to have an Accounting background with extensive NetSuite experience (preferably as an Admin), as the anchor system and knowledge of this tool with a strong research skill set is important to success. Coupled with a good systems understanding of Accounting across UKG, NetSuite, Blackline and the associated workflows in our key processes. 606 Rev Rec would be very helpful to understand the setup of the business and the workflows, but is not as critical as NetSuite experience. Also helpful is experience with Treasury functions (Chase) & Payroll, and very helpful if experienced in UKG.
